Project Brief
Logicly Pty Ltd, formerly Strategic Data Pty Ltd, uses the MHE NMDS Data Entry Tool to support the collection, validation and reporting of mental health establishment data.
The Microsoft Access application must remain aligned with changing Australian reporting specifications. Each reporting cycle can affect data structures, validation rules, forms, reports, exports and interface content.
DB Gurus provides ongoing development and support so Logicly can retain a familiar application while adapting it to new requirements.
The Challenge
Logicly needed a practical way to update a critical application without replacing it whenever a new reporting specification was released.
The engagement needed to address five recurring requirements:
- Update reporting years, editions, versions and collection periods.
- Change database structures and relationships to support new record types.
- Revise validation rules, queries, reports and export processes.
- Refresh forms, dashboards, interface text and Logicly branding.
- Deliver changes in time for the next testing and reporting cycle.
The Solution Delivered
DB Gurus uses an estimate-driven ticketing model to manage each annual upgrade. Requirements are reviewed, divided into defined work items and estimated before development begins.
For the 2025–2026 reporting cycle, the application is being updated to Specification Version 05.00. The work includes new STNGO and REGNGO record structures, revised relationships, expanded field requirements, new forms and tabs, updated reports and changes to export functionality.
DB Gurus updates both front-end and back-end Access files. The work covers tables, relationships, field definitions, queries, forms, reports, validation logic and exports while preserving the workflows established users already understand.
Logicly can test each release and request focused refinements. DB Gurus also provides technical support when deployment or security issues arise in contemporary Windows environments.
Results and Review
The ongoing engagement gives Logicly a structured way to evolve an established application as national reporting requirements change.
The approach delivers five practical outcomes:
- The MHE NMDS Data Entry Tool remains aligned with changing reporting specifications and validation requirements.
- Established workflows can continue while the database structure and interface evolve.
- Logicly receives clear visibility of proposed scope and cost before work begins.
- The existing Microsoft Access platform continues to deliver value without a wholesale replacement.
- The support relationship covers estimation, development, testing, release and post-deployment troubleshooting.
This case study shows that modernisation does not always mean migration. When an Access application still supports the business well, targeted development can extend its useful life while keeping it aligned with new technical and regulatory requirements.
The Takeaway
Keep Access when it still fits the business.
A carefully maintained Access application can continue to support complex and changing requirements. The key is to modernise the structures, validation, reporting and interface as the operating environment evolves.
