Case Study

Migrating a Million-Record Microsoft Access Database to SQL Server

When a Microsoft Access database becomes central to daily operations, replacing it completely is not always the best first step. For this property valuation firm, the Access system already supported more than one million property records and remained familiar to the team using it every day.

DB Gurus helped the client modernise the database environment by moving the data layer to Microsoft SQL Server while keeping the existing Access front end in place. This staged approach reduced disruption, protected earlier investment and created a stronger foundation for ongoing support and future improvements.

Project Brief

A property valuation company relied on Microsoft Access to manage more than one million property records. The database had become a major operational system. Therefore, the business needed a stronger data platform.

However, the team already knew the Access application. A complete rebuild would have replaced both the database and the user interface at the same time. That approach would have created more disruption than the client wanted.

DB Gurus proposed a staged migration. Microsoft Access would remain as the front end, while Microsoft SQL Server would become the database back end.

The Challenge

The client needed to modernise a large database without discarding a useful application. The new approach also had to protect the work already invested in the Access front end.

The project had three clear goals:

  • Retain the familiar Microsoft Access interface.
  • Move the underlying data to Microsoft SQL Server.
  • Create a practical foundation for ongoing support and future improvements.

The Solution Delivered

DB Gurus converted the existing Access database to use SQL Server as its back end. As a result, the application and its data were no longer tied to a single Access database file.

The team could continue using the existing Access interface. Meanwhile, SQL Server became the central database platform. This approach avoided an unnecessary full rebuild and reduced the amount of change introduced at once.

DB Gurus also continued to support the database environment after the migration. This ongoing relationship helped the client maintain an important business system over the following years.

Results and Review

The project delivered a clear path from an Access-only database to a Microsoft Access and SQL Server solution.

The migration achieved four practical outcomes:

  • The client retained the Microsoft Access application its team already understood.
  • The database back end moved to Microsoft SQL Server.
  • More than one million property records did not require a complete application rebuild.
  • The system remained supported after the original migration project.

This project shows that Access modernisation does not always require a complete replacement. Instead, an organisation can keep a useful Access front end and modernise the data layer first.
