What does “upgrading my Access database” actually involve?

Upgrading can mean many things depending on your current system. In many cases, it involves:

  • Migrating your data to a newer file format or backend (e.g. from MDB to ACCDB, or to SQL Server)
  • Refactoring or rewriting VBA code, macros, or queries that no longer work in new versions
  • Updating forms, reports, and UI to support modern layout or devices
  • Replacing deprecated controls or libraries
  • Enhancing security, concurrency and multi-user support
  • Integrating with modern systems (APIs, web services, mobile interfaces)
  • Testing, performance tuning, and rollout planning

We’ll scope exactly what your upgrade entails during our discovery phase.

We support migrations from very old versions (Access 97, 2000, 2003, 2007) through to modern versions (Access 2016, 2019, Office 365 / Access in Microsoft 365). Depending on the version you’re upgrading from, there may be extra challenges (e.g. deprecated libraries, unsupported controls) that require extra work.
We can usually do releases outside of your work hours. For example after 5pm or over the weekend. We always try to work with you. If you have a very large database, that takes a lot of manipulation, we may need to do some of that work during your work time, but that is rare.

Yes, normally the upgrade will involve making your database accessible from anywhere. However, Access is not designed for large-scale remote use in its native file format over WANs. We often move the backend to SQL Server (or another server-based database) and expose a front-end or web interface, which gives better performance and stability across remote offices or from home.

We offer ongoing maintenance, bug fixes, user support, version upgrades, and enhancement services. We can also train your users and help you evolve the system over time as your business changes.

One reason to upgrade now is to make your system more resilient to future changes. By modernising the architecture (e.g. moving to SQL backend, decoupling tightly bound UI logic) we reduce the risk of breaking when Office or Windows updates come. We also factor in version flexibility, so future Office or Access upgrades should be smoother.
Do you have to rewrite my entire system?
It depends on what you want and what you have. Where it works well we will recommend you preserve what you have. Where it does not work well we will suggest a rewrite. Our goal is to minimize cost and disruption. We will often prototype and release incrementally, only rewriting parts that are incompatible or inefficient in the new environment.
It all depends on complexity. A small database with limited forms and reports may be upgraded in a few days or a couple of weeks. A complex system with many integrations, custom code, and reports may take months. After our initial analysis, we’ll provide a realistic timeline and milestone plan.

Protecting your data is our top priority, so our typical approach is:

  • Make full backups of all existing data before we start
  • Work in a development / staging environment, not directly on your live system
  • Test thoroughly before we do a release
  • Possibly run parallel comparison testing (old vs new) to verify data integrity
  • More backups and have a rollback procedure
  • Only switch over to the new system when you (and we) are confident all is working

That totally depends on your needs:

If you have a small user base, modest data size, and limited integration needs, staying with Access may suffice.

If you anticipate growth, a lot of concurrent users, large datasets, or need high availability, then moving to SQL Server (or Azure SQL / cloud database) is often the better long-term choice. We’ll help you choose the best path when we analyze your system.

The cost is driven by the scope and complexity of your system. That includes the number of tables, the logic and SQL involved, the number of integration, the UI requirements, data size, and performance constraints. After our preliminary discovery, we’ll provide either fixed price quotes, or ballpark figures, for future works.


As a rough guide: a modest upgrade might cost in the low thousands (AUD); a full migration + web interface might be tens of thousands. Note that these are just estimates and your specific system could differ significantly to please talk to us to get more accurate figures.

Yes. We can design a web front-end or API layer so users can access via browser or mobile device. This often involves moving data to a server-based database (SQL Server, Azure, etc.) and building a custom web/mobile interface.
