Case Study
Russell Island Tractor Slashing and Mowing
Russell Island Tractor Slashing and Mowing needed a practical way to move beyond an ageing Microsoft Access 2003 system and support the way its field service work was actually managed. The business required a modern, reliable application that could bring customer, property, job, quote and invoicing information together in one place.

Project Brief
Russell Island Tractor Slashing and Mowing relied on a Microsoft Access 2003 application running on Windows XP to manage important day-to-day operations.
The ageing platform was becoming difficult to maintain on modern technology. Rather than continue extending the legacy application, the business engaged DB Gurus to create a custom cloud-based replacement.
The new application brought customers, properties, services, jobs, quotes and invoicing into a central system hosted on AWS.
The Challenge
The existing system depended on software and infrastructure that had reached the end of its useful life. It also limited how the business could manage operational information outside the office.
The project needed to address four practical goals:
- Move core business processes away from Access 2003 and Windows XP.
- Bring customers, properties, jobs and services into one application.
- Improve visibility of work as it moved from quotation to completion.
- Create a system shaped around the client’s real operational workflow.
The Solution Delivered
DB Gurus designed and developed a custom cloud application hosted on AWS. Development followed an iterative process, with regular reviews and client feedback used to refine the interface and workflow.
A central dashboard gave the team a clear view of quotes, open jobs, work awaiting review and completed jobs. The system also supported different service types and multiple services against a job.
DB Gurus reworked the relationship between customers and properties. The new design supported property details, location information and previous owners within a more structured data model.
The application also included quoting and invoicing functions. Job services and dates could flow into invoices, while custom notes and currency formatting supported clearer client documents.
Results and Review
The project moved the business away from its Microsoft Access 2003 and Windows XP environment. In its place, the client gained a modern application designed around field service operations.
The new solution delivered four important outcomes:
- Customers, properties, services, jobs and financial workflows were brought into one system.
- The team gained a clearer view of work moving through Quote, Open, For Review and Completed stages.
- Property and customer information was managed through a more structured relationship.
- The business could access the application without relying on its previous desktop environment.
This project shows when a complete Access replacement makes sense. Where the existing technology is obsolete and the business needs a different way of working, a purpose-built cloud application can provide a cleaner long-term direction.
